PoMoArts is seeking a detail-oriented and enthusiastic Arts Admin Assistant who has a love of spreadsheets and organized files to join our team this summer. This will be a project-based position, working closely with our Office Administrator to support the efficient functioning of our Arts Centre. There will be data entry and updating, filing, facilitating rentals and birthday parties, assisting our Customer Service Team, and assisting with reports and other documentation. You will get a behind-the-scenes view of how an Arts Centre works and thrives.

The Arts Admin Assistant position and its duration are subject to funding approval through the Canada Summer Jobs program.

About the PoMoArts

PoMoArts, the Port Moody Arts Centre Society, is a not-for-profit community-arts organization that creates art experiences to engage, challenge, and awaken opportunities for connection. We provide art education, exhibitions, and community art experiences in the City of the Arts with various partners and artists each year.

We are supported by a thriving community of artists, volunteers, donors, businesses, associations, and decision-makers. We are an arts centre run primarily by artists, committed to developing, promoting, and celebrating meaningful arts experiences in Port Moody. We offer a full range of visual, ceramic, fibre, media, performing arts and music programs for people of all ages and experience levels. We curate exhibitions of local and regional artists, emerging and established. We create meaningful community art experiences with our partners that explore social issues, lift voices of those less heard, and support community dialogue.

 

Responsibilities

Shadowing the Office Manager, this position will be fully immersed in all aspects of the Arts Centre operations. They will actively contribute to the creation of an inclusive and encouraging environment in which staff and patrons have a respectful and dependable framework to do their work and participate in our activities. The participant will also take on a leadership role in coordinating some of the day-to-day logistics of facility operations. Reporting to the Office Manager, the Arts Admin Assistant will:

  • Undertake general administrative tasks and collaborate with the Office Administrator to support the efficient functioning of office operations;
  • Assisting in day-to-day administrative duties and providing overall administrative support to ensure the smooth running of the office;
  • Coordinate the booking of rooms in the facility and communicate with clients to understand their needs and ensure proper scheduling;
  • Facilitate the booking process for birthday parties, including scheduling, payment processing, and ensure a positive experience for attendees;
  • Assisting the customer service team in handling inquiries, resolving issues, and ensuring overall customer service satisfaction;
  • Gathering, categorizing, and maintaining documents and implementing file management best practices;
  • Assist in the preparation of meeting minutes, reports, and other administrative documents;
  • Assist the Office Manager in maintaining facility Occupational Health and Safety records, including restocking of First Aid kits, and ensuring all Safety Data Sheets (SDS) and Safe Work Practices (SWP) are up-to-date and accessible;
  • Collaborate with and provide support to other departments as needed to maintain the seamless operation of the Art Centre;

Qualifications

  • Post-secondary education or demonstrated experience in administration, arts, education, or a related field;
  • Have a strong interest in operations and customer service;
  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook);
  • Highly effective communication skills, spoken and written;
  • Linear thinker with an aptitude for creating organized systems and documentation, developing process, and generating new ways to improve efficiency;
  • Critical eye and strong attention to detail, with an eye for consistency across multiple projects;
  • Excellent editing and proofreading skills;
  • Self-starter with the ability to work both independently and collaboratively in a team environment;
  • Strong organization and time management skills with the proven ability to manage priorities and meet deadlines;
  • Ability to work flexible hours, including occasional evenings and weekends as required for community events and exhibition openings;
  • Knowledge of the XplorRec Registration System is an asset;
  • Knowledge of Occupational Health and Safety and the Workplace Hazardous Materials Information System (WHIMIS) is considered an asset;
  • A valid Basic First Aid certification is considered an asset;
  • This position requires the completion of a successful criminal background check prior to commencing employment;

Other Eligibility Requirements for the Canada Summer Jobs Program

  • Must be between 19 and 30 years of age at the start of the employment;
  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act, for the duration of the employment;
  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations;

Remuneration: $19/hour

This is a full-time (35 hours/week) 16-week youth employment opportunity scheduled to take place from May 11 – August 28, 2025. The position and its duration are conditional upon Canada Summer Jobs funding.
