The Port Moody Arts Centre Society is a not-for-profit community arts organization located in the City of the Arts. We create inclusive and meaningful art experiences through education, exhibitions, and outreach. Run primarily by artists and supported by a vibrant network of volunteers, donors, and community partners, we offer a wide range of visual, performing, ceramic, and media arts programming for people of all ages and skill levels.

The Role: Festival Manager

As the Festival Manager, you’ll lead the logistics planning, implementation, and evaluation of a wide array of immersive arts experiences, manage partner and sponsor relationships, and oversee volunteer coordination and marketing. You’ll be the lead logistics for the whole festival and work closely with the Executive Director and other team members to deliver a high-quality, economically impactful and rich Art Out Side festival for 2026.

This is a role for a logistics savvy planner —someone who enjoys creating systems, tracking details, supporting artists, and contributing positively to a collaborative team.

A Day in the Life

Your hours will vary depending on the tasks to be done, you might start your day by updating the planning timeline, secure sponsorship, set artist fees, meet with a local business for a potential activity location, and finish by providing updates to the Executive Director on progress. It’s a role that blends vision, detail, and excellent communication.

Key Responsibilities

Reporting directly to the Executive Director, the Festival Manager will provide the following services:

Festival Management
  • Lead all logistics and documentation for planning, implementation, and evaluation for all components of the Art Out Side festival
  • Prepare, manage, and report on the festival budget
  • Ensure needed insurance, licences, permits, etc. are secured and documented
  • Maintain records and proactively share regular updates with leadership and staff
  • Actively seek and create opportunities to enhance unique immersive arts experiences, collaborating artists and businesses/public spaces
  • Collaborate with the Marketing Coordinator to ensure timely and accurate promotion
  • Compile performance metrics and report on festival participation and engagement
Fundraising & Sponsorship
  • Write grants and secure sponsorship to support the festival for short- and long-term
  • Build and sustain strong relationships with sponsors, donors, local organizations, artists, and businesses
  • Represent PoMoArts and contribute to its positive reputation
Volunteer Management
  • Oversee the volunteer needs of the festival and work of the Volunteer Coordinator
  • Ensure volunteer roles and schedule meets the needs of the festival and provides meaningful volunteer experiences
  • Support volunteer recognition

Who You Are

  • A logistics leader who enjoys building strong relationships with artists and businesses
  • Highly organized and detail-focused, with excellent time and communication management skills
  • Passionate about the arts, and the unique impact immersive experiences have on individuals and communities
  • A clear and thoughtful communicator with strong leadership skills
  • Comfortable balancing creative planning with administrative follow-through
Qualifications
  • 2+ years in festival logistics, event planning, and volunteer coordination or related experience
  • Strong management and leadership capabilities
  • Exceptional organizational and time management skills with high attention to detail
  • Budgeting and fundraising skills; ability to accurately track and report on financial information
  • Familiarity with online registration systems (XplorRec preferred)
  • Proficient in Microsoft Office; knowledge of Google Suite and Jotform is an asset
  • Understanding of insurance, permitting, licencing and artist industry rates
  • Knowledge of the Tri-Cities arts and cultural landscape is a significant asset
  • Level 1 First Aid certification is a bonus
